Wakili Cloud is a legal-practice management application. This policy explains how information is handled when a user accesses the service or chooses to connect a Google account.

Information we process

Depending on how the service is used, Wakili Cloud may process account details, client and matter records, uploaded documents, tasks, court dates, billing records, audit information and technical logs needed to operate and secure the service.

Google user data we access

When a user chooses to connect Google Calendar, Wakili Cloud accesses the connected Google account's email address and requests permission to create and update events on Google Calendars that the user owns. Wakili Cloud sends only user-requested event details such as the title, description, date, time and event type for hearings, mentions, file events and task deadlines.

Wakili Cloud does not request or access Gmail messages, inbox contents, contacts, Google Drive files, the user's Google password, or unrelated existing Google Calendar events. It does not import or list a user's existing calendar.

Google user data we store

To maintain a connection and update events created through Wakili Cloud, we store the connected Google email address, a protected Google authorization refresh token, Google event identifiers, the related Wakili Cloud record identifiers and synchronization timestamps. Google access tokens are used temporarily to complete authorized requests and are not intentionally stored by Wakili Cloud.

How Google user data is used

Google user data is used only to provide the user-facing Google Calendar synchronization feature requested by the connected user, maintain that connection, update the corresponding events and troubleshoot or secure the integration. It is not used for advertising, retargeting, profiling, credit or lending decisions, surveillance, building an unrelated database, or any purpose unrelated to the calendar feature.

Sharing and transfer of Google user data

When a user requests synchronization, Wakili Cloud transfers the relevant event details to Google Calendar so that Google can create or update the event. We do not sell Google user data. We do not share or transfer it to advertising platforms, data brokers or other third parties for their independent use.

Limited data may be processed by service providers that host, secure or maintain Wakili Cloud, only as necessary to operate the user-facing service and subject to appropriate confidentiality, access and security controls. Information may also be disclosed when required by applicable law or when necessary to investigate abuse or a security incident.

Personnel, contractors and service providers are not permitted to read Google user data unless the user has expressly authorized support involving specific data, access is necessary for security or abuse investigation, or disclosure is required by applicable law. Everyone acting on Wakili Cloud's behalf must comply with these restrictions.

Artificial intelligence and machine learning

Wakili Cloud does not use Google user data to train, improve or develop generalized artificial intelligence or machine-learning models. Google user data is not transferred to third-party AI or machine-learning services.

Google API Services User Data Policy

Wakili Cloud's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Retention and deletion

The connected Google email address, protected refresh token and event-linking records are retained only while the user keeps Google Calendar connected or as needed to provide the requested feature. Disconnecting Google Calendar from My Profile deletes the stored Google connection, protected refresh token and Wakili Cloud's Google event-linking records. Events already created in Google Calendar remain in the user's Google Calendar until the user deletes them there.

Other Wakili Cloud records are retained for the period needed to provide the service and meet professional or legal obligations. A user may request deletion of eligible personal data by contacting us at the address below.

Security

Wakili Cloud uses encrypted HTTPS transport, role-based access controls and protection of stored Google authorization tokens. Access is limited to personnel and service providers who need it to operate or secure the service. No internet-based system can guarantee absolute security.

Your choices

Google Calendar access is optional. Users may decline it and continue using Wakili Cloud without calendar synchronization. A user may disconnect Google Calendar in My Profile or revoke access through their Google Account settings at any time.
